Job Description:
This position is primarily responsible for providing administrative support to the Hershey Lodge Banquet Department and at times, will assist with office coverage and support to Convention Services and the Business Center as needed.
**Job Functions:**
* Creating labels, signs and menu's for themed and standard Banquet Events.
* Creating and posting the weekly schedule and assisting with payroll exceptions and adjustments.
* Updating, building and posting the daily schedule and revising the daily schedules based on operational needs (as counts or events may be changed or altered).
* Keep accurate tracking of on-call schedule and assisting with correspondence to the on-call staff for scheduling purposes.
* Preparing Banquet Checks for each function (including Beverage Only Functions) with guarantees provided each day to ensure accurate billing.
* Keeping Culinary, Banquet and Arrangement BEO books updated with equipment needs and any changes or alterations off the change sheet each day.
* Assist with posting daily revenue, as needed.
* Ordering of Office Supplies, maintaining pars to standard and assisting with the inventory of uniforms for on-call and Temps Services.
* Work with the F&B; Administrative Assistant on set up, maintenance and execution of special event reservations and seating systems (ie: Open Table) as well as assisting at the registration desk of those events, when needed.
* Performing department administrative duties to include, but not limited to: answering phones, taking and communicating messages, recording messages, typing, taking and distributing meeting minutes, assist with maintaining attendance and vacation requests, creating custom labels and signs and keeping files organized and accurate.
* Providing coverage and support to Convention Services and the Business Center as needed.
**Basic Qualifications:**
* Must be 18 years of age or older
* Minimum of 1 year of administrative experience
**Additional Qualifications**
* Working knowledge of Gmail and Microsoft Office applications, including Excel and Word.
* Proficient working with details on a daily basis for prolonged periods of time.
* Excellent written/verbal communication skills
* Ability to type at least 55 words per minute with a high degree of accuracy.
* Ability to multi task and work under time sensitive pressure.
**Working Conditions:**
* Physical Requirements include sitting (up to 100% of the shift), Communicating, Performing detailed work at close distances and finger dexterity.
* Ability to concentrate and maintain organization in a shared work space.
* Normal Schedule includes Monday through Friday 9 a.m. - 5:30 p.m. however, schedule will vary according to business needs and will require flexibility to work holidays, some evenings and weekends.
